Bummit 2012 to Sofia: Terms and Conditions
Please read the Terms and Conditions below. Any disputes or appeals
will be dealt with at the discretion of the Bummit 2012 Committee.
Failure to comply with these terms and conditions will result in the
application being withdrawn.
Bummit 2012 reserves the rights to change any of the dates in the below statements if circumstances necessitate such change.
SECTION ONE - Application process
• 1.1 All participants must complete the online application form IN FULL.
• 1.2 The application form must be completed by the person taking part
in Bummit 2012. Any application suspected to be in breach of this term
will be rejected.
• 1.3 Cheques (as described in Section 2) must be received within 7
days (one full week) of completing the online application form.
Failure to do so will result in the place being offered to someone on
the reserve list.
• 1.4 Applicants who are not fortunate enough to receive a place on
the trip in the first instance will be held on a 'reserve list' and
will be informed via email if a place becomes available.
• 1.5 All details supplied on the application form must be correct to
the best knowledge of the applicant. The applicant must inform the
Bummit Committee of any changes to these details.
SECTION TWO – Included in your ticket
• 2.1 A Bummit Goody Bag, a meal on arrival at Sofia, entrance to the Bummit halfway party and the end party in Sofia, accommodation for one night at the Halfway Point and in Sofia, and invites to all pre and post event socials, including ‘team mating’ events
• 2.2 The ticket does NOT include return transport from Sofia, we recommend you book an aeroplane or coach to return well in advance.
N.B Please note that if you choose to hitchhike back from Sofia, Bummit and the University of Sheffield Students’ Union accepts no responsibility for you. Big Bummit finishes after the end party.
SECTION THREE - Fees to be paid and sponsorship guidelines
• 3.1 Participants are obliged to pay a non refundable £75
participation fee online.
• 3.2 Participants are obliged to provide two £100 cheques by way of guarantee of participants’ £200 minimum sponsorship target made payable to ‘Sheffield Students Union’
• 3.3 All cheques must have your cheque guarantee/debit card/credit card number, expiry date of the card and the participant’s full name written on the back.
• 3.4 Minimum Sponsorship cheques will be cashed if minimum sponsorship has not been raised by the sponsorship deadline, which is Wednesday 2 May 2012. You will be informed of when the cheque will be cashed and given every opportunity to make up you sponsorship.
SECTION FOUR - Insurance, Health and Safety Issues
• 4.1 You will be covered under travel insurance that will be arranged by the committee, the details of which will be given at a later date. However, this insurance does not cover personal items and we recommend that you do not take valuable or expensive items with you on the trip.
<!--[if !supportLists]-->· <!--[endif]-->4.2 You will be covered under the Students Union Public Liability Insurance as part of this trip.
<!--[if !supportLists]-->· <!--[endif]-->4.3 You will receive a comprehensive guide to hitching safely, and will have to attend the compulsory Safety Briefing. There will be a safety mobile phone on the trip that will have a committee member available 24/7 to ask advice or help.
<!--[if !supportLists]-->· <!--[endif]-->4.4 We provide first aid trained individuals on the trip that are available for first aid advice.
SECTION FIVE - Communication between participants and committee
• 5.1 During the application process, the participant is required to
confirm a valid email address for communication. The Bummit 2012
Committee will use this email address to communicate information
regarding the event to the participant. The participant is responsible
for making sure this address remains functional, and for checking it
regularly.
• 5.2 Participants must comply with requests communicated from the
Bummit 2012 Committee within the stated deadline, or risk forfeiting
their place. These requests will be sent to the email address
described in section
• 5.3 Queries regarding any aspect of the event may be referred to the
Committee via enquiries.bummit2012@gmail.com or on our Bummit2012 facebook group.
SECTION SIX - Non University of Sheffield Union of Students (USUS) members
• 6.1 All participants must be a full member of the Sheffield Union of Students and MUST be currently studying with the university.
SECTION SEVEN - Conduct
• 7.1. The actions of a participant whilst on the trip are the
sole responsibility of the individual involved. In the case that a participant’s actions results in a charge or fine, by any body or organisation, the charge is to be paid by the participant.
• 7.2. Any costs which are incurred by Bummit 2012,
because of an individuals poor conduct, will result in the individual repaying those costs. Failure to do so may lead to participants being expelled and possible legal attempts to recover money.
• 7.3. In the case that Bummit 2012 covers such a cost (as described in 6.1 and 6.2) whilst on the event, the participant will be invoiced directly after the event. An outstanding debt to Bummit 2012, much like an outstanding library charge, will prevent a student from graduating.
• 7.4. Participants are bound by the laws of the UK and their host
country. If those differ then UK law will take primacy unless
following UK law will lead to a breach of the host country law.
• 7.5. If any misconduct occurs on the trip itself the participant's place on the trip will be reviewed by the digression of the committee.
SECTION EIGHT – Safety
• 8.1. Every participant must attend the safety meeting, the provisional time and date is 1930 on 28th March 2012. Bummit 2012 will confirm this at a later date and reserves the right to change it. The following safety information is NOT a substitute for attending the safety meeting.
• 8.2. Whilst hitching the Bummit Team are contactable via the 24 hour Safety Phone. Details of this phone will be given at the safety meeting.
• 8.3. Participants must hitchhike in groups of 2 or 3 including at least one male participant. Teams must not separate at any time and must not switch teams at anytime. If you have an issue regarding team-mates whilst on the event then please call the safety phone.
• 8.4. Participants MUST have their mobile phones with their person and on at all times.
• 8.5. We hold extended public liability insurance for the event with Endsleigh. This does not cover personal property; we therefore recommend that participants do not bring valuables on the event.
• 8.6.If a participant has any disability or mental health issue that could affect you while you’re on the event, please let Bummit 2012 know. We want to support all students involved in our event in every way we can but can only do this if we are fully informed. Failure to do so may mean that Bummit 2012 is not able to support you fully whilst on the event.
SECTION NINE - Data Protection
• 9.1. The data used for registration and administration of the event will only be viewed by elected members of the Bummit committee and the staff members in charge over the password protected website. Your details will not be passed to any third party organisation, except our travel insurance provider.
